Procurement
Buy what is needed, and pay for what arrived.
A request becomes a purchase order, the delivery is received against it, and the supplier's invoice is checked against both before it is paid. What you owe each supplier, and when, is always in front of you.
What it does
Ask for what is needed, then order it
Anyone can raise a purchase requisition, and once it is approved it becomes a purchase order to the supplier. Planning runs and critical spares raise their own requisitions too.
Receive against the order
A goods receipt takes its lines from the purchase order and records what was accepted and what was rejected. Completing it puts the accepted goods in stock.
Check the supplier's invoice before paying it
The supplier's invoice is matched line by line against what you ordered and what you received, within the tolerance you set. An invoice that bills the same goods twice fails the match.
Know which suppliers deliver
Each supplier's scorecard fills itself in, quarter by quarter, from the orders you placed, starting with whether deliveries came when promised. You record the two figures only you know.
Works with
Business Partners
Every purchase order and supplier invoice is for a supplier of the register, whose payment terms set when the invoice falls due.
Inventory
A completed goods receipt puts the accepted goods in the warehouse, and a supplier return takes them back out.
Treasury
A supplier invoice is paid from Treasury, and what is still owed comes down as each payment settles it.
